Job Description:

Provides information and advice to the Provost on emerging internal and external issues.

Job Responsibilities:

  • Prepares speaking notes and/or presentations for the Provost for events and other meetings as required.
  • Works closely with Vice-Provosts to advance the priorities of the institution in a coordinated manner.
  • Provides input into the development of agendas and the coordination of Deans/Directors Council, Provost’s Council meetings, Senior Executive
  • Retreats, events, and special presentations. Liaise with the respective senior executive team members in the development of same.
  • Provides oversight of the Provost’s communications ensuring a coordinated and well-developed academic messages.
  • Establishes and maintains strong collaborative relationships with Deans/Directors, Vice-Provosts, and reporting units to ensure strategic planning and academic initiatives are in alignment with the University’s academic mission.
  • Supports the appointment/review of Deans/Directors and the transition to their roles.
  • Provides research support and evidence-based recommendations in support of major academic initiatives/changes under the Provost’s responsibility.
  • Coordinates budget planning within the Academic Cost Pool including the annual budget submission.
  • Works with the communications team to develop a communication strategy for the Provost’s Office.
  • Works with the budget officer to prepare budgets and develop a process to monitor the budgets contained within the Academic Cost Pool:
  • Provost’s Office, Graduate Studies, affiliated Colleges, The Centre, and Institutional Analysis.
  • Provides oversight of the approval of Deans’ expenses.
  • Acts as signing authority as designated by the Provost.
  • Provides change management support as required including identifying stakeholders affected by the change and developing change management strategies.
  • Ensures effective communication within the Provost’s Office and with other senior administrative offices, Deans/Directors, and the broader University.
  • Serves as a member of the Provost’s Executive Team.
  • Provides oversight of the activities of the Provost’s office, providing guidance and prioritizing situations requiring attention to ensure timely progress on strategic goals and effective operations.
  • Supports the Provost in presenting the Academic Cost Pool annual budget to the Central Unit Allocation Committee.
  • Manages all funds administered through the Provost’s Office – general operating, Young Scholars, strategic funds, spousal fund, etc.
  • Manages Provost Office projects through project planning, development, implementation, and deployment ensuring that the deliverables meet parameters and time, cost, quality, and success criteria.
  • Ensures the Provost’s Office website (including the intranet site) is accurate, current, and reflective of the priorities and responsibilities of the Provost.
  • Advises and supports the Provost and her senior leadership team on management and administrative matters.
  • Supports the Provost in the appointment of Vice-Provosts. Prepare integration plans for each member of the Provost’s Executive team.

Job Requirements:

  • Experience managing a budget is required.
  • Minimum of 5-10 years administrative experience in a university environment at a senior level is required.
  • Must possess political acumen.
  • Must possess a strong service-oriented perspective.
  • Exceptional interpersonal skills are required.
  • A university degree is required, graduate degree is preferred.
  • Must demonstrate a commitment to supporting the academic mission of the University.
  • Must be able to perform efficiently under time pressure and manage a demanding workload.
  • Highly developed problem-solving skills are required.
  • Experience managing projects is required.
  • Extensive knowledge of UM’s governance structure, human resource policies and procedures, and budgeting process is required.
  • An acceptable equivalent combination of education and experience may be considered.
  • Must be able to anticipate needs/opportunities.
  • Must be able to be positive and creative in dealing with workplace challenges.
  • Strong organizational skills are required.
  • Must be able to work as a team member and facilitate a positive work environment.
  • Strong communication skills – written and oral – are required.
  • Must be able to work independently and with a high level of professionalism.
  • Must possess a high level of adaptability to changing circumstances and demands
