Job Description:
Reporting to the Senior Manager, COVID-19 Supply Chain, the Coordinator coordinates and manages critical project activities by applying project management knowledge, skills, tools, and techniques to satisfy customer needs and expectations during project lifecycle. This position requires balancing competing demands such as scope, schedule, and quality of deliverables; issue/risk management and problem resolution as well as ensuring accurate project documentation and meeting minutes.
Job Responsibilities:
- Provides support to and coordinates activities of the team, including project and operational-related activities as well as other COVID-19 Secretariat activities
- Supports, manages and maintains team project tracking and reporting tools (i.e. SharePoint and Microsoft Teams)
- Provides coordination support to COVID-19 Secretariat meetings (e.g. scheduling, notetaking, following up on action items, etc.), and developing/updating team resource documents (e.g. standard operating procedures, RASCI charts, etc.)
- Utilizes project management skills through managing activities’ deadlines and dependencies, and preparing status reports for initiatives
- Assists with the development, documentation and roll-out of new processes, tools, and policies
- Assists with the preparation and quality assurance of presentations, reports, briefing notes, and/or data spreadsheets for senior leadership teams, health care organizations across the province and the Ministry of Health
- Supports the COVID-19 Secretariat and various working groups on the development and management of project plans, project charters, and other project related documents
- Coordinates issues management and follows up with the appropriate individuals to verify that action has been taken, adjusting plans as required
Job Requirements:
- Comfortable working in a dynamic and fast-paced environment
- Very good written and verbal communication and documentation skills
- Ability to multi-task, follow up and manage competing priorities
- Good knowledge of analysis, problem solving and structured approaches to identifying solutions
- Strong knowledge of Microsoft Office tools including PowerPoint, Excel and MS Project
- Sound knowledge of project management methodology
